Tax Document Checklist

Gather the records that make tax work easier.

Use this checklist before intake so GHL can quickly understand your personal, business, payroll, bookkeeping, or trust filing picture.

Personal Tax Records

  • Prior-year federal and state tax returns
  • W-2, 1099, K-1, brokerage, retirement, and interest statements
  • Estimated tax payment history and IRS or state notices
  • Deduction support for charitable giving, mortgage interest, education, medical, or dependent-care items

Business Records

  • Year-end profit and loss and balance sheet
  • Bank, credit card, loan, and merchant statements
  • Payroll reports, contractor payment summaries, and owner compensation records
  • Receipts, invoices, mileage logs, asset purchases, and loan documents

Payroll Records

  • Quarterly Form 941 filings and the annual Form 940
  • State withholding and unemployment returns for each state with employees
  • W-2s and Form W-3 for employees, plus Form 1099-NEC and Form W-9 records for contractors
  • Payroll registers, pay-period detail, benefit or retirement deductions, and tax deposit confirmations

Trust Records

  • Trust agreement, amendments, EIN letter, and prior Form 1041 filings
  • Bank, brokerage, business, asset, liability, and distribution records
  • Beneficiary details, trustee notes, meeting minutes, and supporting receipts
  • Documentation for asset transfers, notes, leases, reimbursements, and unusual transactions

IRS and State Notices

  • Every notice or letter received, including all pages and the envelope
  • Notices for a balance due, an adjustment, a math-error correction, or identity verification
  • Examination, audit, or information-document requests along with their response dates
  • Payment plans, penalty-abatement requests, or prior correspondence already in progress

Questions to Flag

  • Life changes such as marriage, a new dependent, a move between states, or a home purchase or sale
  • Entities formed, closed, or restructured during the year
  • Large or unusual activity such as asset sales, distributions, loans, or transfers involving the trust
  • Anything you are unsure how to categorize, plus upcoming deadlines or extension needs

Before You Send Anything

  • Use the secure portal for sensitive tax documents when GHL provides access
  • Do not send Social Security numbers or full account numbers through the public contact form
  • Label files clearly by tax year, entity, account, and document type
  • Add a short note for deadlines, notices, extensions, or questions that need early review
